How Ram Bot, the dashboard, and related services handle information โ and how you control optional tracking.
This policy describes how Ram Bot, the Ram dashboard, and related services (the "Service") handle information. It explains your choices and how applicable law may protect you.
We collect only what we need to run the Service. Optional tracking and data-use settings you can change in the dashboard are listed on the Privacy & data pages. Anything not listed is either required for Ram or a feature (and described here), or is not collected or tracked by Ram.
Privacy controls (dashboard)
You do not need to email support to change optional tracking or data-use settings that appear in the dashboard. After signing in with Discord, you can manage them directly:
- Members: Dashboard โ User Settings โ Privacy & data โ personal optional tracking and data-use choices for your account.
- Server managers: Dashboard โ Bot Settings โ Privacy & data โ server defaults for optional tracking and data use (requires permission to manage that server).
Ram requires servers to allow members to control their own optional tracking preferences. The Honor member privacy preferences setting lets Ram respect each member's choices. If a server owner disables that setting and saves, Ram will leave the server. Ram does not remain in communities where members are prevented from limiting optional tracking associated with their account.
Your optional privacy choices belong to you. Ram will not remain in servers that prevent members from controlling them.
If a setting is shown on a Privacy & data page, you can review what it does and whether it can be disabled. Moderation logs, automod, and other safety features configured by a server may still operate as part of running Ram on that server.
Our approach: collect only what we need
Ram Bot is built around data minimization. We do not ask
for a separate Ram account, marketing profile, or contact list. We request
the smallest Discord OAuth scopes needed for dashboard login and server
management (identify and guilds โ not
email).
Discord's APIs can include fields we do not use. For example, some Discord user objects may contain an email address if Discord attaches one to the account. We do not request the email scope and We do not store Discord email addresses for dashboard login. If such a field appears in a transient API response, We discard it and persist only what is listed under dashboard sign-in below.
On Discord servers, We process only what enabled features require (for example a warn log entry or a level-up event). Optional features respect dashboard privacy toggles where configured.
Interpretation and Definitions
Interpretation
The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

For the purposes of this Privacy Policy:

Account means a unique account created for You to access our Service or parts of our Service.

Company (referred to as either "the Company", "We", "Us" or "Our" in this Agreement) refers to Ram Bot.

Cookies are small files that are placed on Your computer, mobile device or any other device by a website, containing the details of Your browsing history on that website among its many uses.

Device means any device that can access the Service such as a computer, a cellphone or a digital tablet.

Personal Data is any information that relates to an identified or identifiable individual.

Service Provider means any natural or legal person who processes the data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service or to assist the Company in analyzing how the Service is used.

Third-party Social Media Service refers to any website or any social network website through which a User can log in or create an account to use the Service.

Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).

Website refers to the Ram Bot dashboard and related web pages operated by Us, including rambot.xyz.

You means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.
Collecting and using your personal data

We do not collect Discord email for the dashboard, sell personal data, or build advertising profiles from Ram AI or presence data.
Types of Data Collected
Dashboard account data
When You sign in with Discord, We store a dashboard record tied to Your Discord user ID, including:
- Discord user ID, username, discriminator (legacy), and avatar hash
- OAuth access and refresh tokens so We can call Discord on Your behalf (for example listing guilds You manage) until tokens expire or You log out
- A signed session token stored in an HttpOnly cookie
We do not store Your Discord email address, phone number,
or Discord password. We do not use the email OAuth scope.
Usage and diagnostic data
Like most websites, Our hosting may process minimal technical data (such as IP address and browser type) in server logs for security and reliability. We do not use this to identify Discord members outside of operating the dashboard You chose to use.
Dashboard sign-in (Discord)
The Ram dashboard uses Discord OAuth only (scopes identify and
guilds). Discord may expose more fields in an API payload than
We keep; We persist only the dashboard account data described above.
Cookies and session storage
We use cookies and similar technologies needed to run the dashboard โ for example session authentication after Discord login and security preferences. We do not use cookies to build advertising profiles about Discord server members.
You can control browser cookies through Your browser settings. Refusing essential cookies may prevent You from staying signed in to the dashboard.
How we use personal data
We use the data above only to:
- Operate the Ram Discord bot and dashboard You or Your server chose to use
- Authenticate dashboard sessions and show guilds You can manage
- Run optional features (levels, live announcements, Ram AI, etc.) when enabled and allowed by privacy settings
- Respond to support requests You send Us (for example email to [email protected])
- Protect the Service, enforce these policies, and comply with law when required
We do not use dashboard login data to send unsolicited marketing email, and We do not sell Your personal information.
When we share information
We may share data only in these limited cases:
- Infrastructure providers that host the bot or website, under confidentiality and only to run the Service
- Discord โ data already flows through Discord as part of using a Discord bot; guild data stays scoped to guilds that added Ram
- Legal requirements when We believe disclosure is required by law or to protect safety and rights
- With Your direction โ for example when a server manager exports a ticket transcript
Retention of Your Personal Data
The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use Your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.
The Company will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of Our Service, or We are legally obligated to retain this data for longer time periods.
Transfer of Your Personal Data
Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located. It means that this information may be transferred to โ and maintained on โ computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from Your jurisdiction.
Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer.
The Company will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy and no transfer of Your Personal Data will take place to an organization or a country unless there are adequate controls in place including the security of Your data and other personal information.
Disclosure of Your Personal Data
Business Transactions
If the Company is involved in a merger, acquisition or asset sale, Your Personal Data may be transferred. We will provide notice before Your Personal Data is transferred and becomes subject to a different Privacy Policy.
Law enforcement
Under certain circumstances, the Company may be required to disclose Your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).
Other legal requirements
The Company may disclose Your Personal Data in the good faith belief that such action is necessary to:
- Comply with a legal obligation
- Protect and defend the rights or property of the Company
- Prevent or investigate possible wrongdoing in connection with the Service
- Protect the personal safety of Users of the Service or the public
- Protect against legal liability
Security of Your Personal Data
The security of Your Personal Data is important to Us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While We strive to use commercially acceptable means to protect Your Personal Data, We cannot guarantee its absolute security.
Children's Privacy
Our Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13. If You are a parent or guardian and You are aware that Your child has provided Us with Personal Data, please contact Us. If We become aware that We have collected Personal Data from anyone under the age of 13 without verification of parental consent, We take steps to remove that information from Our servers.
If We need to rely on consent as a legal basis for processing Your information and Your country requires consent from a parent, We may require Your parent's consent before We collect and use that information.
Links to Other Websites
Our Service may contain links to other websites that are not operated by Us. If You click on a third party link, You will be directed to that third party's site. We strongly advise You to review the Privacy Policy of every site You visit.
We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.
Discord bot data
Ram Bot is a Discord application. When a guild adds Ram and enables features, We process Discord data only as needed for those features โ not a full copy of Your server. This may include Discord user IDs, display names, channel IDs, message content when a feature requires it (moderation, commands, optional plugins), roles, and settings You save in the dashboard.
Live Members and Presence / Streaming Activity
If a server enables the Live Members feature and auto-detect, Ram Bot may use Discord's Presence Intent to detect when a member has a Streaming activity (for example Twitch or YouTube) so we can announce that they are live in a channel chosen by that server. We may also detect Discord voice "Go Live" / screen share using voice state information (which does not require the Presence Intent).
For this feature We may process:
- Discord user ID and display name of the member who is live
- Streaming activity name, stream title/details, platform label, and stream URL when Discord provides them
- Voice channel ID when Go Live is used (to link viewers to that channel)
- Temporary session records needed to show who is currently live and to update or end the announcement when the stream stops
We do not use Presence data to track members' general online/offline status, game activity history, or advertising profiles. We do not sell presence or streaming data. Presence-related session data is kept only while a member is marked live (or until the session expires / is ended) and is not retained as a long-term activity history.
Opt-out
Server administrators can disable Live Members or turn off auto-detect in the Ram Bot dashboard. Members can stop Streaming status or end Go Live to stop auto announcements. Members may also ask server staff to disable the feature for their server. Removing Ram Bot from a server stops further processing for that server's Live Members configuration.
Dashboard privacy controls
Signed-in server managers can configure optional tracking and data-use defaults under Bot Settings โ Privacy & data, including Discord data sources Ram may use and defaults for optional features such as levels, live announcements, and Ram AI.
When a server honors member privacy preferences, members can manage personal optional tracking under User Settings โ Privacy & data. Disabling honor member privacy and saving causes Ram to leave that server, as described above.
Ram AI
When Ram AI is enabled, We process messages and prompts You send to Ram AI to generate a response. We do not use Ram AI chats to build long-term advertising or member behavior profiles.
Follow-up context is off by default. If a server or member enables optional follow-up context, Ram may use a short window of recent messages in the same thread to answer related questions. That context is used for the active request flow โ not sold and not kept as a permanent conversation archive for profiling.
Server managers and members can adjust Ram AI privacy defaults in the dashboard where those controls are available.
Changes to this Privacy Policy
We may update Our Privacy Policy from time to time. We will notify You of any changes by posting the new Privacy Policy on this page.
We will let You know via email and/or a prominent notice on Our Service, prior to the change becoming effective and update the effective date at the top of this Privacy Policy.
You are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
